The Assistant Front Office Manager assists the Front Office Manager in all aspects of the department including but not limited to operations, planning, budgeting, staffing and payroll in accordance with hotel policies and procedures. The Assistant Front Office Manager provides leadership and support to all members of the Front Office and enforces the Hay Adams Standards of Excellence in all areas supervised.

 

Essential Duties & Responsibilities 

  1. Perform all job duties and responsibilities in accordance with the Hay Adams handbook, the department operation manual as well as all hotel policies and procedures are part of this job description.
  2. Manage and monitor activities of all employees in the Front Office department making sure they adhere to the standards of excellence and to the guidelines set in the employee handbook, hotel policies and procedures, coaching, training and correcting where needed.
  3. Maintain a professional and high quality service oriented environment at all times.
  4. Work closely with the Housekeeping Department to improve guest services and foster cross departmental communication.
  5. Keep staff informed of all activities in the hotel, reinforcing Standards of Excellence and constantly strive to improve and perfect service in the department through coaching and training while promoting a strong team atmosphere and culture.
  6. Be aware and able to enforce all fire-life-safety procedures. Remain current in all updates with regards to new procedures and training. Ensure staff is fully trained in emergency procedures. This position is a member of the hotel’s emergency response team in the absence of the Front Office Manager.
  7. Perform any other duties as required and directed by Management.
  8. Act as manager on duty for the hotel in the absence of the Front Office Manager dealing with complaints, problem solving, disturbances, special requests and any other issues that may arise.
  9. Manage the AM and PM shifts in the department ensuring all employees perform the tasks assigned to them and coordinate Front Office activities with other departments.
  10. Inform all Front Office staff of daily activities, group and VIP arrivals as well as special requests and repeat guests. Check accommodations, making sure any special requests are carried out accordingly, greet guests upon arrival and ensure escort to accommodations if appropriate.
  11. Attend to all regular duties of the Front Office Manager during the Front Office Manager’s absence and must be able to perform any tasks or duties of any employee in the department.
  12. Assist the Front Office Manger in implementing and enforcing financial controls throughout the department, helping with control of operating expenses, scheduling and purchasing.
  13. Report any suspicious persons, activities and/or hazardous conditions to the Security department and/or the Front Office Manager.

The House Person is responsible for the set up and breakdown of function rooms. Must maintain the cleanliness of all of the hotel’s Banquet space as well as providing support to the Servers and the Banquet department in general.

Essential Duties & Responsibilities

  1. Set up and breakdown of function rooms including tables, chairs, linens, napkins, bars, dance floors, podiums and other furniture according to BEO or manager’s direction.  
  2. Retrieve all food related menu items to appropriate service area according to the agreed upon timeline. Assist server with all aspects of service as required.  
  3. Return all dirty dishes, silver, glassware and serving pieces to the dishwashing area in kitchens. Retrieve back up of these items if necessary.  
  4. Clean and maintain all Banquet areas, equipment, storage closets, and floors in both guest and back of house areas. Clean all spills and breakage immediately. Cleans equipment such as coffee brewers, high chairs and other departmental operating equipment.
  5. Transport waste and dirty linens to their appropriate areas. Restock linens, napkins and operating supplies as needed. Complete all side duties as assigned.  
  6. Set meeting tables and refresh rooms as necessary. This may include polishing glasses, refilling water pitchers, collecting print materials and other guest requests as specified.
  7. Ensure plants and flowers are placed appropriately or discarded of properly. Report any maintenance needs to the Banquet Manager.

Essential Duties and Responsibilities

  1. Spend majority of shift on foot patrol, walking, climbing stairs of the interior and perimeter of the hotel to observe and identify potential security and safety risks or undesirable conditions. Requires verbal communication using pager and two way radio, bending, stooping and kneeling as in performing CPR.

 

  1. Maintain order in the hotel, dealing with the welfare of guests, eg., assisting with door lock problems, coordinate expedient response to emergency conditions such as fire, fire or safety hazards and threats to life and/or property in a calm, rational and persuasive manner. Handle undesired conduct, violations of hotel policy and civil laws as warranted for the security and safety of hotel guests, employees, patrons and property. Requires grasping lifting or carrying or otherwise moving persons, packages, luggage, wheelchairs and safety equipment using manual dexterity of hands.

 

  1. Answer security telephone and safety hotline calls and respond in a timely manner based on priority.

 

  1. Use a clear, concise English speaking voice, listen with empathy, provide accurate information and document legibly all appropriate incident information.

 

  1. Memorize and monitor fire safety system installed at property including layout of entire building, alarm pull stations, location of fire extinguisher and sprinklers.

 

  1. Regular attendance in conformance with the standards, which may be established by The Hay Adams from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

 

  1. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.

 

  1. Upon employment, all employees are required to fully comply with The Hay Adam rules and regulations for the safe and efficient operation of hotel facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.

 


Supportive Functions

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.

  • Check employee packages as they exit to ensure no food or The Hay Adams property is being removed. Screen persons entering this entrance for purpose and authorization.

 

  • Receive, record and deliver lost and found items to Housekeeping. Research and respond to inquiries from guests concerning status of items.

 

  • Provide accurate information to inquirers for directions, hours of operation, etc.

 

  • Escort guests and employees as required to parking lots, provide same for employees carrying house banks.

 

  • Assist guests with door lock problems and opening rooms safely.

 

  • Other duties as assigned by the supervisor.
