Overview and Responsibilities

Handles guest requests and maintains communications between other departments and Housekeeping.  Controls and Monitors the overall operation of the Linen Room, the Supplies Room and Uniform Room.

Essential Duties and Responsibilities
  1. The Hay Adams Handbook, the Departmental Standard Operating Manual and our policies and procedures are part of this Job Descriptions.
  2. Answer housekeeping telephone calls, according to the Hay Adams Standards of Excellence.
  3. Submit and follow through on any maintenance requests, following correct procedures for submitting to engineering.
  4. Actively participate in resolving concerns regarding guests or Housekeeping operations.
  5. Promote positive relations with guests and employees.
  6. Maintain communication between Housekeeping and the other operational areas of the Hotel.
  7. Have knowledge of all guest room layouts, bed types, décor, amenities, locations, and numbers/names.
  8. Receive and follow through on all requests, ensuring that requests are executed in the time specified by the Hay Adams Standards of Excellence.
  9. Receive Lost and Found items and log the information.
  10. Prep AM management by printing reports (arrivals, VIP, room inventory reports).
  11. Call the front office before printing morning reports to establish no shows and morning coverage and to gather any other relevant information.
  12. Delegate assignments to Housepersons, Housekeepers, Lobby Attendants, and Linen Room Attendants.
  13. Assists with the supervision of House persons, Housekeepers, Lobby Attendants, and Linen Room Attendants.
  14. Issue, properly maintain and take scheduled inventories of Hay Adams uniforms.
  15. Oversee the sending out of guest and staff dry cleaning.
  16. Issue clean F&B linen to F&B personnel.
  17. Issue and maintain Housekeeping related items.
  18. Do weekly supply inventories and alerts management of shortages and/ or discrepancies.
  19. Administrate all purchase orders, ensure receipt of requests, and follow through on shortages and back orders.
  20. Establish and administrate proper monthly and yearly logs and filing systems for all purchase orders.
  21. Receive purchased items and initiates securing all received.
  22. Establish filing system for daily reports, laundry and dry cleaning, contract labor.
  23. Maintain Housekeeping storerooms, controls Housekeeping costs and the ordering of Housekeeping related items.
  24. Do weekly inventory of linen and terry discards-monthly tabulations of discards.
  25. Offer on hand support during monthly and quarterly linen and terry inventory.
  26. Prepare employee daily/ weekly payroll and submits to manager.
  27. Responsible for general cleanliness of the housekeeping office and organization.
  28. Take initiative, provide support, and give active participation in all aspects of Housekeeping operations.  Able to work with minimum supervision.
  29. Performs any other reasonable duties as required and directed.

Supervisory Responsibilities

Supervises all Housekeepers, Floor House persons, Lobby Attendants, Linen Room Attendants.

Education andExperience

A high school education or equivalent education is preferred. Prior hospitality experience is also preferred. Basic computer skills will be an asset.

Language Skills

Must be able to understand, speak, read and write English. Must be able to read and comprehend moderately complex instructions, as well as, write correspondence and memos. Effectively present information to customers, clients and other employees within the organization.

Mathematical Skills

Must possess the ability to add, subtract, multiply and divide in all units of measurement, using whole numbers, common fractions and decimals. Must have the ability to compute, ratio and percentages, and draw and interpret bar charts.

Reasoning Ability

Ability to apply common sense to carry out detailed written or verbal instruction. Must be able to work with minimum supervision.

Physical Ability

To complete the duties of the job, the employee will be required to reach with hands and arms and often stoop, kneel, crouch or crawl. There will be frequent walking and standing involved with occasional sitting. The person will be required to lift or move weights ranging from 10 to 25lbs. Must have finger dexterity to operate office equipment such as adding machines, computers, printers, multi-line touch tone phones, filing cabinets, fax machines, photocopiers and so on.
